Set up New Fee Schedule / Charge Master

Settings > Fees 
You must have Account Manager access to the Settings tab. 

Navigate to Settings tab > Fees subtab
On the left-hand pane, select Charge Masters > Add New

For Custom Fee Schedule, choose No base schedule
Custom Fees: 
After selecting the No Base Schedule button, click Next.
Give the schedule a name, ex. Custom fees 2026
Enter an effective date, you can insert a retroactive date if needed.
Leave the end date blank/open.
Open Ended box should be checked.
If using a multiplier of Medicare, enter the percentage for both facility and non-facility charges.
Make sure Active Schedule box is checked.

For Medicare fees or a multiple of Medicare's fees, select Based on Most Current Medicare. PracticeAdmin automatically updates Medicare's fees each year, based on your locality.




For Associated insurance plans:
Any insurance plans in the practice insurance table (Settings > Insurance) will populate in the Available bucket. If fee schedule is for all payers, move on to next step. If fee schedule is for select payers only, move them over to the Selected bucket using the arrows.

for Associated facilities:
Any facilities in the practice facilities list (Settings > Facilities) will populate in the Available bucket. If fee schedule if for all facilities, move on to the next step. If fee schedule only applies to select facilities, move them over to the Selected bucket using the arrows.

for Associates providers:
Any providers in the practice provider list (Settings > Providers) will populate in the Available bucket. If fee schedule if for all providers, move on to the next step. If fee schedule only applies to select providers, move them over to the Selected bucket using the arrows

Click Save & Next to move to the next screen.

Fees
Any Medicare allowable fees will automatically populate in both Fac.$ and Non-Fac$ columns, based on your locality. For any $0 fees, use the pencil icon to edit facility and non-facility fees, clicking the green check to save.

Lookup CPT field
enter a CPT and click on the funnel icon. Using "Contains" will search for the CPT entered.

Click the Finish button on the bottom of the screen to save the changes.
