ProviderSuite Web App

PBI 2296: Settings > Insurance tab now accessible to Account Managers

A new settings screen, Settings > Insurance, is now accessible to any user with Account Manager Security Level.

On this new settings screen, users can view and edit details for Insurance Plans linked to the account. (Adding insurance plans must still be done through the Add button in Billing and go through the validation process by the support team.)

Search for Insurance Plans

Using the filter options, you can search for Insurance Plans by Insurance Plan Type and you can include or exclude Workers’ Compensation plans. You can sort the list of plans by Insurance Plan Name or by ZIP Code.

Leaving Insurance Type set to “-- Select All --” will return a list of all plans, regardless of type.

Once the filters are set as desired, click the Show Insurance Plans button to generate the list.


Viewing Insurance Plans

After “Show Insurance Plans” is clicked, the system will return the list of plans linked to the account.

Plans configured to be sent to the clearinghouse will have an entry in the Payer ID column. (Plans without a Payer ID will need to be printed and claims using these plans will go to the Pending Payer Paper Claim bucket in Billing once the Release button is clicked on Claim-Final.)


Use the links on the bottom of the grid to advance forwards or backwards in the list.

Editing Insurance Plan Details

Clicking the Edit link in the first column enables you to change the plan details for the selected plan.


Once you have made the desired changes, press the Update link to save the new values. Pressing the Cancel link returns you to the list without saving the changes.


Warning - adding, changing, or removing the Payer ID will affect how claims are routed to the clearinghouse.


PBI 2145: Updated Patient Payments screen to accept patients with special characters in Last Name field

Certain pecial characters are now enterable in Patient Last Name field on Patient Payments screen

  • hyphen -

  • comma ,

  • period .

Payments > EDI Payments screen has been optimized to load faster


PBI 2075: Converted certain Aging Reports to new controls

The following reports have been converted to the new standard ProviderSuite design and are now listed under the Reports > Billing > Aging Reports category.

PBI 2041: Changed Documents tab into search screen for Attachments


The existing Documents tab has been repurposed for users to search for files uploaded and attached to Patient Notes in the Providersuite Billing applet.

Screen Overview

  1. Search boxes:

    1. Note Date From and Note Date To range (default is blank for both)

    2. Note Text (default is blank, use wildcard search * before and after user entered text)

    3. File Name (default is blank, use wildcard search * before and after user entered text)

  2. Buttons: Search and Reset

    1. Search button executes a query for any attachments matching the search parameters (if no parameters entered, Search should retrieve all Attachments on that account)

    2. Reset blanks out the parameters

  3. Search Results - will display the following six columns in our standard, sortable grid

    1. Pt Account (Pt Account Number)

    2. Patient (Pt Last Name, Pt First Name)

    3. Note Date (date note created

    4. Note (contents of note)

    5. Attachment (file name of attachment)

    6. File Size (attachment size in megabytes)


Screen Actions

  1. Clicking the Attachment file name will download a copy of the attachment to your local computer.

  2. Clicking the Trash Can icon will permanently delete the attachment.


PBI  2040: Enhanced Reports to adjust for DST when printed

Certain reports have been updated to adjust for Daylight Saving Time when generating the report during DST but the results include appointments which are scheduled after the end of DST.

PBI 2017: Changed ‘Patient’ select field into search box on certain reports

Patient List' parameter to select one patient from a drop-down menu to Search Text box for those reports with this parameter. Search box shall require at least three characters to be entered before executing a search, e.g. "eri" is valid, but not "er" or "e".

PBI 2014: Added 2 digit year option for Item 24 to Account Settings



New option on Settings > Account to control whether to use a 4 or 2 digit in Item 24 on 1500 forms

  • Field Label: "Date Format in Item 24:"

  • Drop-down with two choices "MM/DD/YYYY" and "MM/DD/YY"

  • Default value is MM/DD/YYYYY


PBI 2010: Updated Design of Edit Provider screen

 Settings > Providers > Edit Provider,

  1. Account Managers can no access to Remove Hold or Add Hold action links

  2. Text changes 

    1. Heading A - "* The provider is ON HOLD for following EDI receivers :" to "Provider is On Hold for the following EDI Services"

    2. Heading B - "This provider is NOT ON HOLD for any EDI receivers." to "Provider is not On Hold for any EDI Services."

    3. Column heading "EDI receivers" to "EDI Service"

    4. Column heading blank to "Action"

    5. Heading - "PIN's found for the provider: (Click on the headers to sort)" to "Provider PINs"

    6. Column heading "Facility Name" to "Facility"

PBI 1967: Excluded Inactive Providers from Appointment list

Inactive Provider Profiles no longer appear in the providers list on the Appointments tab.


PBI 1933: Updated Payments > Payment Portal URL

Payments > Payments Portal link has been changed from a default marketing URL to https://ecashiering.ixt.com



PBI 2042: Updated "User for EDI Payments changed" Email Format


  1. Removed  hardcoded insurance@practiceadmin.com address from CC field.

  2. Change Subject to "ProviderSuite Data Change for <ACCOUNTNAME> (<instance-fgi>)" 

  3. Body template changed to:

PBI 1568: Updated System Info page title

On My Profile > System Info, changed page title from "System Info" to "ProviderSuite System Info '' so when printed or screenshot, indicates its from ProviderSuite.


PBI 684: User Email now required to be used as User Login instead of User Name

Users will now be able to login to ProviderSuite only using their email address. Label on the login screen updated to “Email”

If a match is not found, the login screen will throw an error about invalid credentials “Password combination does not match our records. Please try again."


PBI 1799: Updated Design of Account > Settings screen

From Settings>Account  the following changes are made :

  1. Address Type changed from "Claim Pay to Address (HCFA 33)" -> to "Claim Pay To Address (1500 Item 33 / UB-04 Field 1)"

  2. Under the for Address Type options changed Zip -> ZIP Code (please note case)

  3. Changed label for drop-down from "Use Tax ID from" to "For claims, use Tax ID from"

  4. Account # Prefix box already displays a locked Prefix as read-only (greyed out and unable to change.) Removed the unnecessary warning text "*This is locked now."
