Patient Notes Feature

Notes allows the user to enter or view any Patient or Claim notes that are either system generated or entered by the user. Each note will display the Note Date, Claim Number, the note itself and the user that generated the note. Enter the necessary notes in the provided text box and click Save. The saved notes are displayed in the section below. The Notes page allows notes to be edited, if done on the same day as the note was saved, and by the same user. 

Users can access the Notes page using the notebook icon to the right of the Patient Transaction History paper icon:

Red Preset Note

Entering a Note Manually

To enter a note manually, begin on the Notes page. If needed, click Refresh to clear out a loaded note and reset the page for entering a new note. First, select whether the note is going to be a general note linked to the patient’s record or a note attached to a specific claim. From the Link Note To: drop down menu, select Patient for a general note or the Claim #/DOS choice for a specific claim.

Editing a Note

The Notes page allows notes to be edited, if done on the same day as the note was saved, and by the same user. To accomplish this, 1) click on the note line in the notes grid below, which will 2) insert the note text into the Note field above. Make the necessary changes to the note. 3) When finished, click Save


You will see the new Note added to the Grid, below under Note Date with today’s date, as well as the Red Preset note:


Flags in Payment Application

Red Preset and Popup flags will appear in Billing Manager Claim-GeneralClaim-Details, Claim-Final, and Patient Transaction History Screen (click Patient then History) . 

Red Presets will also appear in Scheduling under Patient Flags (click New then New Appointment).


Popup Flags

To enter a popup flag, select flag type Popup and link note to Patient in the drop down list. The Note window will open up for a free-style message. The Show From: and To: date fields will activate to edit the dates for the popup flag. Once the user has completed the popup note, click the Save button. Popup messages appear in all modules of ProviderSuite (Billing, Scheduling, Payment Application) when the patient account is accessed. 

Statement Messages

Users can assign claim lines with statement messages.

1. To implement this, we have another note type. In the Notes window,

users may select the Flag Type called Statement Message and then select a claim line and a statement message from the Note list.


Only one statement message is allowed for a single service line.

2. Users can also assign service lines with statement messages when posting transactions in

Payment Application.




3. Statement messages are shown on the Claim Transaction Detail and Patient Transaction History screens among other notes (under the corresponding service lines).
