Posting Payments for Patient Accounts that are in Collections
- If the patient is sitting in collections pending status you can not post a payment to the account. You have to take the patient off of collections before posting any money. The reason behind this is that the patient's final collection notice and their actual balance should match.
- If the patient is already in collections and you’ve written off the balance, then you have to do a reverse adjustment to put charges back on the account so you can post.
- For adding a service charge to an account that is past due, the suggestion is to use a dummy CPT to add charges to the account.
- For the returned check, you can post returned check (dr pmt) to add back the original amount of the check andu se returned check fee to add the fee from the bank.
Statement Differences Patient Accounts that are in Collections
Once a patient account has been "transferred to collections", the patient statement mailed will no longer include the balance that was transferred to collections.
- The Reset Statements button will be available for the patients in the Pre-Collections Completed and Collection Account statuses if there are claims eligible for statements.
- Claims eligible for statements include all service lines belonging to claims with non-zero balance, and not transferred to collections.
This has been the case since the Billing Applet 6.6 release in February of 2015. If the patient is in pre-collections or the collections flag has been turned on you can remove these flags and still send patient statements that will include all balances not written off. The patient statement will not include collections only after a collections account has been "transferred", this means a collections report was generated which pulled the patient into the collections file to send to a collections agency.
